Position Summary: Maintain, diagnose, adjust or repair material handling equipment and systems, including lift trucks and other supply chain products, at a customer’s site within a timely and cost-effective manner in order to meet customer expectations. Functions:
  • Drive to customer site, diagnosing, trouble-shooting and repairing forklift and other assigned equipment in accordance with established guidelines and procedures while maintaining positive customer relations
  • Conduct routine and special inspections as required

Position Summary: A Field Service Coordinator is to support all Field Service Technicians and all on-site Service Technicians in all aspects of their work duties. Create work orders for repair of equipment. Document diagnosis of repairs or findings, customer communications and relay communication from customer to Service Technician.

Responsibilities:
  • Provide all necessary information on work order to support billing process.
  • Oversee daily functions of service technicians – primarily Field Service Technicians, but also support on site staff in all facets of their job functions.
  • Responsible for the coordination for daily scheduling.
  • Post labor time daily to balance with payroll.
  • Review technician notes on work order – apply appropriate misc. charges, fuel / truck charges and any sublet charges accordingly.
  • Work orders are to be closed or prepped the following day.
  • Utilize resources including technical support from the manufacture website or other to resolve repair issues on a same day basis. (Document findings and include with work order).
  • Preventative Maintenance (PM) Agreements – communicate with customers for scheduling, needs and other concerns.
  • Bulletins/Campaigns – support all manufacture and warranty on completion of requirements.
  • Follow up with all customers on scheduled times and/or discuss additional concerns with quotes and turnaround times.
Education and Experience
  • High school diploma or equivalent and knowledge of basic math skills.
  • Prior heavy equipment experience valuable.
  • Valid driver’s license.
  • Experience with computers and Microsoft Office / Windows software
  • Good interpersonal skills, team player, and reliable.
Physical Requirements
  • Must be able to sit for long periods of time
  • Must be able to multi-task (phone, computer, customers etc.)

Daily Responsibilities Detail (Standard Hours 7AM – 4PM)
7:00am – 8:00am
  • Review Fleetmatics to ensure that all technicians have arrived to their first scheduled call on time.
  • Run labor report to ensure all technicians have uploaded their labor from the previous day.
  • Run Fleetmatics report from the previous day to address any labor or travel discrepancies. Adjust as needed. Contact technician to review any errors or gaps in time.
  • Email accounting to inform them labor is ready to be processed.
8:00am – 9:00am
  • Once labor has been posted in accounting, review to ensure all labor was posted correctly.
9:00am – 10:30am
  • Review work orders with back ordered parts to determine if parts have arrived on jobs that will need to be scheduled. Schedule accordingly.
  • Call customers if parts ETA’s have been extended.
7:00am – 4:00pm
  • Receiving and scheduling service calls. (Service Coordinator)
  • Open Shop work orders and notify shop foreman.
  • Scheduling PM service for the next week. (PM Coordinator)
  • Reviewing work orders that require quotes. Open quote work orders and begin preparing the quote and forward information to parts team.
  • Forward completed quotes to the Service Manager for review.
  • Process work orders in the doc center. Add fees, verify labor, adjust comments, ensure billing information is correct, and ensure all parts are on the work order. Check complete.
  • Assist technicians with any parts issues and monitor completions of repairs throughout the day.
  • Dispatch and communicate to technicians when new work orders have been assigned.
  • Update Van Maintenance Records in Fleetmatics and issue repair PO’s.
  • Complete P&D’s for all units scheduled for shop repair.
  • Open PO’s for sublet work.
2:00pm – 3:00pm
  • Begin scheduling technicians and assigning jobs for the following day.
  • Communicate the schedule to the technicians as they begin to call in and complete their day. The technicians must know the location and expected time of arrival for the following morning.
3:00pm – 4:00pm
  • Contact customers that we were unable to be scheduled for that day and provide the customer with an updated ETA.
  • Provide the Service Manager with a list of their technicians which includes the start time and location for the following morning.
Weekly Responsibilities
  • Monday – Collect Hour Meter Readings for the TRW Rental equipment and forward to the Rental Manager.
Monthly Responsibilities
  • The second business day of the month all automatic open PM’s are processed.
  • Review the PM work orders to determine if any did not open. Address accordingly.
  • The second business day of the month the PM Coordinator will print the rental maintenance list and provide to the Rental Manager to determine which PM’s will need to be completed that month.
  • The second to last day of the month all internal lost time work orders are reviewed and processed in the doc center for accounting to close.
  • The second to last day of the month the TRW monthly battery work order is reviewed and processed in the doc center for accounting to close.
  • The last day of the month all aging quotes are reviewed and closed.

Position Summary: Reliable, organized, detail-oriented individual with strong computer and Microsoft Office skills needed, Material Handling Equipment experience is a plus.
Pay: Full time employment. Starting hourly pay is based on experience.

Basic Duties:
  • Processing equipment sales deals
  • Ordering equipment from manufacturers
  • Tracking the estimated delivery date of the equipment and providing updates to the salesman who is responsible for the deal
  • Coordinating with Service and Parts departments to install attachments onto the equipment and have it prepared for delivery
  • Coordinating with the Trucking department and/or freight company to ensure that equipment is delivered to the customer when promised
  • Ensuring that all paperwork is complete and entered into the system
  • Performing a monthly equipment inventory
Education and Experience
  • High school diploma or equivalent
  • Prior heavy equipment experience valuable.
  • Valid driver’s license.
